Custom roles

Build your own roles with a per-category permission matrix: who sees what, who can do what.

Roles define allowed actions; property access defines the properties in scope. Check both when inviting someone or changing their responsibilities.

Create and assign a role

From Members → Manage Custom Roles, the primary owner can create a role. The list shows the workspace's custom roles, their labels and actions.

  1. Click Create role.
  2. Enter its label and permissions. There is no internal-name or description field.
  3. Under General, select the required operational permissions.
  4. Under Tasks, choose all tasks or assigned-only access.
  5. Save and assign the role to the relevant members or invitations.

Available categories

The matrix includes Properties, Property groups, Restrictions, Guests, Bookings, Messages, Reviews, Templates, Shortcodes, Message automations, Analytics, Prices, Payments, Payment methods, Integrations, Property Manager, Task templates, Websites, Upsells and Support.

Available permissions vary: read, write and delete where supported; Bookings, Messages, Reviews and Property Manager have read/write, while Analytics and Support are read-only. E-invoicing offers Read/Manage only when available in your workspace.

Workspace administrative permissions are not offered in this matrix. See Team settings.

Task scope

For reading, writing or deleting tasks, choose all tasks or assigned tasks only (assigned to the person or their team). Assigning tasks to other people requires write-all access. See Tasks.

Example permissions to check

  • Expenses: Properties + Prices read access to view; write access to both to create or edit. Properties write also allows changes to property and property-owner records: it is not limited to expenses.
  • Property owners: Properties read/write/delete according to the action. Commission invoices and billing rules separately use Property Manager permissions.
  • Reviews: the screen requires Reviews, Properties, Bookings and Guests read access; replies and guest evaluations require Reviews write access.
  • Cleaning provider: start with assigned-only tasks and only the required properties; check their workflow with that role.

Edit or delete

A role change affects every member with that role. Before deleting an assigned role, reassign its members and invitations; the deletion dialog guides you. Management actions also depend on administrative rights: ask the primary owner if they are unavailable.
