Property Manager — Owner portal

Enable the portal, invite your owners and know what they see there: calendar, KPIs and invoices.

The owner portal gives each invited owner read-only access to their properties, at an address of your own. It relies on property-owner records: an owner only sees the properties linked to their record.

Enable the portal

Open Property Manager → Owner Portal, Settings tab. In Portal settings, turn on Portal enabled and choose the Portal address (lowercase letters, digits and hyphens, at least 3 characters). Changing the address breaks the links already sent, and another workspace may take the old address.

The Custom Domain card serves the portal on your own domain; once the DNS records are verified, the portal address redirects to it. While the portal is disabled, no one can sign in and no invitation can be sent.

Invite an owner

The Owners tab lists your records with their status: No access, Awaiting acceptance, Invitation expired, Access active or Access disabled. Invite sends an email to the record's address; a record without an email cannot be invited. The same action is available in the Owner portal card of a record's Settings tab.

The owner chooses a password from the link received, then signs in at the portal address. An invitation expires after 7 days: Resend sends a new one. If they forget their password, the Forgot your password? link on the sign-in page sends them a link valid for 1 hour.

Changing the email of an invited record cancels the pending invitation; you need to send a new one. For an active access, the new address becomes the sign-in email, the password stays the same and the old address is notified.

What the owner sees

The portal has three tabs, plus My details in the menu under their name:

  • Calendar — bookings on their properties; a booking's details open on hover (on tap on mobile).
  • KPIs — the indicators of the Analytics page, detailed below.
  • Invoices — property-management invoices issued to them, viewable and downloadable as PDF as soon as you generate them.
  • My details — their record, read-only, and the list of their properties.

The calendar and the KPIs follow the current property links: a property linked today appears with its full history, including stays before the link. If you change a property's owner, its history moves to the new owner. Invoices stay the ones issued to each owner.

The KPIs tab

The owner gets the Payments analytics and Bookings analytics sections of your Analytics page, calculated the same way: payments and their breakdown, commissions, revenue and upsell breakdown, discounts by code, expenses by category, occupancy, ADR, RevPAR and other booking indicators. Annual KPIs and Details are not offered.

They pick the period with the Month and Year tabs (the current month on opening), then filter by Properties, each shown with its currency, and by platforms (all by default). When the selected properties do not all share one currency, amounts are hidden as in Analytics.

  • Expenses — only the category, amount and date are used; the description and vendor are never shown. Recurring expenses are counted.
  • Upsells — as for invoices, when a property uses a separate Stripe account for upsells (the Extras Manager section is then visible on its page) and a manager is set there, its upsell revenue and the related tax appear in that manager's portal, not in the property owner's. Otherwise, everything stays with the property owner. The manager sees the property in their filter for its upsells only: no nights, bookings, occupancy or expenses, and its bookings do not count in their upsell conversion rate.
  • Cancellation fees — not counted, as in Analytics.

Before inviting, complete your expenses and check each property's owner and Extras Manager: the owner sees the amounts as you recorded them.

Remove access

In the Owners tab or the record's card, Disable cuts an owner's access, even if they are already signed in. Enable gives it back with the same password. Turning off Portal enabled cuts access for every owner.

Permissions

Viewing the portal's owner list requires Property Manager and Properties read; the settings require Property Manager read. Enabling the portal, changing its address, inviting, disabling or enabling an access require Property Manager write, as does changing the email of an owner who has portal access.
